About the project

Ledgerline Advisory is a Wellington bookkeeping bureau managing the books for 120+ small businesses on Xero. Their team was doing the same manual routine on every client, every week — pulling bank feeds, coding transactions, chasing receipts, running reconciliations, and prepping GST returns. We implemented a fleet of RPA bots orchestrated from a single control room: they reconcile bank feeds, apply learned coding rules per client, fetch documents from Hubdoc, prepare GST returns for review, and generate monthly management reports — leaving the humans to do advisory work instead of data entry.

The challenge

Ledgerline's growth was capped by headcount: every new client meant more hours of identical, low-value clicking — bank rec, coding, receipt chasing, GST prep. Skilled bookkeepers were spending their days on data entry instead of advising clients, and month-end was a scramble. Hiring more people just to keep re-keying wasn't the business they wanted to run.
